Hartley Accountancy Ltd is a company registered in England and Wales, company number 07410418, with its registered office at 11 Hartley Avenue, Prestwich, Manchester, M25 0AT. We are the data controller for the personal data described in this notice.
What we collect
When you use the contact form on this website, we collect your name, your company name if you provide one, your email address, the service you select, and the content of your message.
If you become a client, we will collect further information necessary to provide our services. Depending on the service, this may include company and payroll records, financial and accounting records, VAT and tax information, and identity documents required for anti-money laundering checks.

Why we use it and our lawful basis
- To respond to enquiries. Our lawful basis is legitimate interests: we cannot answer an enquiry without using the details supplied.
- To provide our services. Our lawful basis is performance of a contract with you.
- To meet legal and regulatory obligations. This includes anti-money laundering checks, record keeping and statutory submissions. Our lawful basis is compliance with a legal obligation.
- To protect this website from spam and abuse. Our lawful basis is legitimate interests.
Who we share it with
We do not sell personal data. We share it only where necessary, including with:
- HMRC, Companies House and other regulators, where required to deliver a service or comply with the law
- accounting and payroll software providers used to deliver the service you have engaged us for
- our IT, hosting and email providers, acting on our instructions
- professional advisers, insurers or auditors where necessary
Where a provider processes data outside the UK, we take steps to ensure appropriate safeguards are in place.
How long we keep it
Enquiries that do not lead to an engagement are kept for up to 12 months. Client records are kept for at least six years after the end of our engagement, in line with HMRC requirements and our professional obligations. Anti-money laundering records are kept for five years after the end of the business relationship, as required by law.
How we protect it
We use appropriate technical and organisational measures to protect personal data, including access controls, encrypted connections to this website, and secure storage of client records.
Your rights
Under UK data protection law you have the right to request access to your personal data, to have inaccurate data corrected, to request erasure in certain circumstances, to restrict or object to processing, and to request portability of data you provided to us. Some of these rights are limited where we are required by law to retain records.
